⚙️ Benefits Admin, Operational Excellence & Analysis
🎯 About the Role
The Benefits Specialist is a highly detail-oriented, process-driven, and analytical role which ensures the operational excellence and seamless delivery of our comprehensive employee benefits programs. This role is central to managing the full operational lifecycle of benefits, focusing heavily on driving efficiency, data integrity, compliance, and cross-functional process integration.
🔑 Key Responsibilities
Operational Excellence & Process Automation
Process Improvement: Proactively identify and execute opportunities for automation and continuous process improvements across all benefit administration tasks (enrollment, eligibility, data exchange, reporting) to enhance efficiency and accuracy.
SOP Development: Build, document, and maintain comprehensive Standard Operating Procedures (SOPs) and process workflows for all benefits operational functions.
Execution Management: Manage the timely and accurate execution of benefit offerings, including system setup, open enrollment readiness, and ongoing eligibility management.
Data Integrity & Strategic Analysis
Data Management & Reconciliation: Own the integrity of all benefits data. Oversee and perform regular audits, reconciliation, and troubleshooting of data interfaces between the HRIS, Payroll, and external vendor systems.
Compliance & Filings: Ensure strict adherence to all regulations. Complete required annual filings and disclosures.
Strategic Support: Assist in performing strategic analysis of benefit utilization, cost reports, and trends to identify areas that may impact revenue opportunities for the business.
Stakeholder Coordination & Communications
Internal Partnership: Serve as a key operational liaison, partnering closely with Global Ops, Product, HRIS, and Payroll to ensure accurate benefit deductions, streamlined workflows, and unified employee data management.
Vendor Coordination: Coordinate day-to-day operational activities with benefit vendors, resolving complex eligibility issues, and ensuring timely service delivery.
Visibility & Communications: Manage the deployment of benefit communication materials and ensure appropriate visibility across the organization, supporting employee education and effective benefit usage.
Customer Service: Provide timely, empathetic, and accurate customer service by serving as the primary point of contact for employee benefits inquiries, skillfully resolving questions related to eligibility, coverage, claims, and leaves of absences to ensure a positive and transparent employee experience.
🎯 Qualifications
Experience: Hands-on experience in benefits administration, HR operations, or a highly analytical role involving data management and process improvement.
Technical Acumen: High proficiency with HRIS/Benefits Administration systems. Expert-level data manipulation and analysis skills using MS Excel (VLOOKUPs, Pivot Tables).
AI Tool Experience: Experience leveraging AI tools and technologies to streamline data processing, automate tasks, and enhance efficiency in HR operations or benefits administration.
Regulatory Knowledge: Solid working knowledge global and domestic benefits regulations.
Attention to Detail: Exceptional organizational skills and a meticulous attention to detail required for data reconciliation and regulatory compliance.
Problem-Solving: Proven ability to troubleshoot and resolve complex benefit, data, and system-related issues independently.
