Role: Senior Operations Specialist
Reporting to: Operations Team Lead
Location: Remote (Anywhere in India)

What we’re looking for
Embark on a galactic quest with Massive Rocket as our Operations specialist plays a critical role in supporting the company’s daily operations, ensuring smooth workflows, and driving continuous improvement of operations across the business.
Operations specialist executes, coordinates and manages the company’s internal processes, participates in designing new processes in the areas needing improvement.
Operation specialist utilizes data analysis, project management methodologies, and industry best practices to suggest new solutions to eliminate bottlenecks and enhance overall efficiency; works closely with different teams to ensure seamless coordination and alignment of operational goals.
Operations specialist plays the role of a first point of contact for the team for general HR-related questions, inquiries about travels, team events, benefits, time-off requests, and company processes and policies. Operations Specialist provides necessary information and directs team members to the appropriate resources.
Experience
• Experience in business operations 6+ years
• Experience in working with remote teams
• Experience working in a services organisation or agency (150-300 people ideal)
• Experience in processing/managing processes related to Team Happiness (HR) is a plus
Responsibilities
Internal Operations:
• Execute Company’s internal HR processes:
◦ Payroll
◦ Leave follow-up
◦ Team changes
◦ Team contacting
◦ Invoicing
◦ etc.
• Coordinate and execute logistics processes for teams:
◦ Planning and booking business trips and team events (travel and lodging)
◦ Arranging food and gift deliveries for the team, customers and partners
etc.
• Continuous process improvement
◦ Analyze existing workflows to identify bottlenecks and inefficiencies.
◦ Research and propose solutions to streamline operations, potentially including automation or new technologies.
◦ Develop and implement process improvements, ensuring clear documentation and effective communication with impacted teams.
◦ Monitor the effectiveness of changes and adapt as needed for continuous improvement.
◦ Analyze existing workflows to identify bottlenecks and inefficiencies
Internal Support:
• Be a point of contact for employees and assist with general HR inquiries, requests regarding operations, policies or processes directing them to the appropriate resources.
• Assist with onboarding new team members and fostering a positive work environment
Communication and Collaboration:
• Effectively communicate with internal and external customers, maintaining a positive and professional demeanor.
Data Analysis and Reporting:
• Collect and analyze data relevant to Company operations, including team/client metrics, team performance and productivity.
• Create reports and presentations using data visualization tools to communicate insights and trends to leadership.
• Leverage data to support data-driven decision-making across the company.
Technology and Tools Proficiency:
• Maintain and improve internal databases and operational systems used by various departments.
• Be a master of common productivity tools like Google Suite (Google Docs, Sheets, Slides) Slack, Confluence
• Be proficient in project management software like Asana and data management software like Airtable.
• Stay updated on new technologies relevant to business operations and be willing to learn and adapt.
Skills
Project Management: Experience with project management tools (e.g., Asana) and the ability to manage projects, schedules, and resources effectively.
Process Improvement and Analysis: Analytical skills to identify inefficiencies, research solutions, and suggest process improvements. Familiarity with process improvement methodologies can be a plus.
Data Analysis and Reporting: Proficiency in using spreadsheets (Google Sheets) data visualization tools, and generating reports to communicate insights and trends.
Organization and Time Management: Exceptional organizational skills to prioritize tasks, manage multiple deadlines, and ensure smooth daily operations.
Communication (written and verbal): The ability to communicate clearly and concisely with both technical and non-technical audiences. Excellent interpersonal skills for collaboration across departments and with clients using professional business communication. Customer service skills.
Attention to Detail: A keen eye for detail to ensure accuracy and maintain efficient operations.
Problem-Solving and Critical Thinking: Ability to identify problems, analyze root causes, and suggest effective solutions.
Initiative and Proactiveness: Ability to identify opportunities for improvement and take initiative to suggest solutions
