Producer - Event Technology
POS-25502
Are you motivated by managing complex and challenging events in the pursuit of bringing an event tech stack to life? Are you energized by using cutting-edge tools to enhance the attendee journey and can deliver against multiple scopes of production with a strong attention to detail? If so – you could be the perfect fit for our team!
HubSpot is looking for an Event Technology Producer, focused on supporting the department in creating a frictionless digital and in person attendee experience across our events portfolio. This role will lead the day-to-day implementation and maintenance of event technology across our portfolio — from registration to mobile app, website, and beyond.
We are looking for someone with strong technical problem-solving skills, an ability to manage effectively through ambiguity, and a passion for learning and championing complex SaaS tools. You'll report to the Lead Event Technology Producer, executing their strategic direction while collaborating with cross-functional partners to deliver seamless event experiences, and ensure every milestone meets high standards for quality, timeliness, and impact while staying on budget.
Primary Responsibilities Include:
Own end-to-end execution of event technology solutions — including registration systems, mobile apps, speaker and sponsor portals, and attendee-facing tools — ensuring flawless operation across all events and onsite at INBOUND and international GROW series
Establish and execute comprehensive QA testing frameworks to ensure tech stack stability and manage ticket triage and bug resolution processes
Manage the full registration journey from initial sign-up through badge fulfillment onsite, including access rules, scanning mechanisms, and serving as technical support lead for attendee issues
Translate strategic innovation goals into tactical execution steps and identify recurring operational challenges to escalate to leadership
Deliver end-to-end project management for all event tech initiatives, balancing team requests with scope, budget, risk, and timing while tracking milestones and ensuring smooth launches
Own day-to-day vendor relationships including budget management, scope coordination, and contract support with Procurement, Legal, Security, and Finance teams
Partner with the Lead Event Technology Producer to test and implement pilot innovations, including AI-powered attendee experiences, reporting learnings from execution
Collaborate with internal technical teams (Martek, Systems Ops, Fintech) to ensure technical feasibility and scalability of digital properties
Provide comprehensive customer service support across external Help inboxes and internal Slack channels, creating tutorials, demos, webinars, and canned communications for attendees and team members
Surface operational insights and contribute research recommendations to inform tech stack decisions
Develop and maintain operational playbooks, SOPs, troubleshooting guides, tutorials, and demos for team enablement and attendee support
Skillset Requirements
This is an execution-focused role. We're looking for someone who excels at flawless implementation and tactical excellence, with a direct background in event technology.
Required Skills
Operational project management expertise: Proven ability in owning operational execution for complex projects with multiple stakeholders, managing timelines, dependencies and risks across numerous workstreams.
Strong Communicator and Cross-Functional Collaborator: Ability to work effectively with technical teams (engineering, IT, security) and business stakeholders, translating technical concepts for non-technical audiences and vice versa. Strong written and verbal communication skills.
Attention to detail: Natural inclination toward thorough testing, quality assurance, catching issues early and creating systematic approaches to ensure stability.
Event Technology Experience: Hands-on experiences with event tech tools such as registration platforms, mobile apps, website, and CRM or comfortable quickly learning new SaaS tools and becoming a subject matter expert
Vendor management: Experience managing vendor relationships including scoping work, tracking deliverables, managing budgets, and coordinating with Procurement/Legal/Finance on contracts
Navigates ambiguity with judgment: Comfortable moving projects forward with incomplete information and the ability to distinguish between when to move forward independently and when to escalate. Asks clarifying questions to reduce uncertainty
Eagerness to learn and grow, with a desire to contribute to innovative event experiences and excitement about leveraging AI to enhance the attendee journey
Preferred Skills
Experience with project management tools (Airtable, Asana, or similar)
Background in event production, event marketing, or live or digital experiences
Familiarity with HubSpot for building registration flows, landing pages, or workflows
Travel
This role requires travel to support onsite event execution for INBOUND and international GROW series events (3-5 times per year). Work hour flexibility is also required to collaborate across multiple time zones with remote team members, vendors, and global stakeholders.
