Position Overview

We are seeking a smart, innovative, and solution-oriented individual to join Autodesk in our Corporate Real Estate team to perform the lease administration functions for a portfolio of offices leased and owned properties with a focus on Europe Middle East and Africa (EMEA). The role would also include the administration of Autodesk’s global office membership program.

Responsibilities

  • Administration of leases, amendments, abstracts and terms for accuracy and ensuring Autodesk compliance with all contractual obligations

  • Maintain a global database of properties ensuring all data is accurately abstracted, and ensuring all documents are stored electronically in the cloud and in hard copy as needed for quick and complete access

  • Abstract lease documents into an enterprise, cloud-based lease management system

  • Verify and evaluate invoices for compliance to lease terms, working with Landlords to reconcile charges, credits, errors and disputes

  • Conduct operating expense reconciliation reviews, perform desk audits and identify properties for full lease audits

  • Generate monthly rent and variable expense reports, route for approvals and work with A/P for timely payments

  • Issue monthly reports to Real Estate and Workplace teams as well as other Autodesk teams such as Legal, Finance, HR, Risk Management

  • Develop and produce ad hoc portfolio reports as required

  • Work with external service providers on various portfolio administration duties and special projects as needed

  • Work with Autodesk’s EMEA Real Estate Portfolio Manager to obtain necessary documents related to new and existing transactions

  • Work closely with our Finance business partner to provide portfolio information and reporting for annual budgeting and monthly property operations

  • Serve as a backup to support APAC or AMER Regions as required

  • Interface with and respond to requests from internal organizations such as Finance, HR, Risk, Legal to ensure lease compliance and fulfill reporting requirements

  • Partner with regional Workplace teams to obtain information and fulfill requests related to leases

  • Maintain good relationships with Landlords regarding lease compliance and rent payments

  • Assist in improving standard lease administration procedures

  • Assist the Manager and the Real Estate team on special projects as needed

  • Assist in the compilation of data and reporting for regular reviews of regional portfolios with key stakeholders

  • Ability to forecast and prepare budgets, conduct financial/business analysis including the preparation of reports

Minimum Qualifications

  • Bachelor’s degree with emphasis on Business, Accounting, Finance, Real Estate or equivalent experience

  • 3 - 5+ years’ experience in lease administration in a corporate environment

  • Strong verbal and written communication and customer service skills

  • Ability to problem solve and bring innovative ideas

  • Experience working in a fast-paced deadline-driven environment and respond to requests in a timely manner

Ability to establish and foster good relationships

  • Very capable with Excel (advanced Excel desirable), Word, PowerPoint and some familiarity with corporate financial systems (SAP/Oracle/Ariba)

  • Some knowledge of lease accounting standards

  • Experience with one or more industry standard lease administration databases

  • A passion for data integrity and accuracy, attention to detail and strong organizational skills.
