This role will primarily support GVO-affiliated practices, including Sweetgrass Plastic Surgery & Spa, Still Waters Day & Medical Spa, and Urban Medspa and Weight Loss Center. These practices provide plastic surgery, medical aesthetics, wellness, spa, and weight-loss services with a strong focus on exceptional patient care, personalized treatment planning, and high-touch communication.
We are hiring two Inside Sales Representatives to manage warm and hot inbound patient leads, follow up consistently, and convert inquiries into booked consultations and medical aesthetics appointments.
The Role
As an Inside Sales Representative, you will be one of the first points of contact for prospective patients interested in surgical, aesthetic, spa, wellness, and weight-loss services.
Your primary goal will be to respond quickly to new inquiries, build trust, answer basic questions, and guide prospective patients toward booking consultations and appointments.
This is an ideal role for someone with experience in inside sales, appointment setting, lead management, patient coordination, customer service, call center work, or medical aesthetics sales.
You should be comfortable making a high volume of warm outbound calls, following up consistently, handling objections professionally, and keeping accurate records in the CRM.
Key Responsibilities
Respond quickly to new patient inquiries via phone, SMS, email, and CRM workflows.
Make warm outbound calls to new inquiries, unbooked leads, lapsed patients, and campaign follow-up lists.
Contact warm and hot leads within the expected response window to improve speed-to-lead and increase bookings.
Book consultations and appointments across plastic surgery, medical aesthetics, spa, wellness, and weight-loss services.
Schedule medical aesthetics appointments for injectables, skincare, laser treatments, wellness, and related services.
Follow up consistently with prospective patients using approved scripts, workflows, and follow-up cadences.
Manage lead statuses accurately inside GoHighLevel and other patient booking systems.
Maintain detailed notes, call outcomes, appointment statuses, and follow-up tasks.
Answer basic questions about services, providers, locations, pricing ranges, promotions, and next steps.
Identify hot leads and escalate them to the appropriate team member when needed.
Help reduce lost leads by ensuring every inquiry receives timely and consistent follow-up.
Support monthly promotions and campaigns by contacting targeted lead lists and lapsed patients.
Partner with guest services, marketing, and practice teams to improve booking rates and patient experience.
Provide daily updates on lead flow, contact outcomes, booking rates, patient objections, missed opportunities, and barriers to conversion.
Flag urgent issues in real time, including unresponsive hot leads, scheduling barriers, CRM issues, or patient concerns requiring manager support.
What We’re Looking For
Required
1+ years of experience in inside sales, appointment setting, lead management, call center, customer service, patient coordination, or a similar role.
Strong phone presence and confident verbal communication skills.
Excellent written communication skills for SMS, email, and CRM follow-up.
Comfortable making regular outbound calls to warm and hot leads.
Ability to build rapport quickly and guide conversations toward booking appointments.
Strong organizational skills and attention to detail.
Comfortable tracking activity, updating CRM pipelines, and submitting daily reports.
Able to manage multiple leads at different stages without letting opportunities go cold.
Comfortable working with scripts, workflows, KPIs, and performance goals.
Professional, discreet, and able to maintain patient confidentiality.
Strongly Preferred
Experience using GoHighLevel or a similar CRM.
Experience in medical aesthetics, plastic surgery, healthcare, wellness, beauty, or a related industry.
Experience booking consultations, appointments, or sales calls.
Experience with platforms such as Zenoti, Nextech, Salesforce, HubSpot, or similar systems.
Previous experience working with sales targets, conversion goals, or performance-based incentives.
Ideal Candidate
The ideal candidate is proactive, warm, persuasive, and highly organized.
You should enjoy speaking with people, following up consistently, and helping prospective patients feel confident about taking the next step. You should also understand that speed matters. When a patient submits an inquiry, quick follow-up can be the difference between a booked consultation and a lost opportunity.
You do not need to be aggressive or pushy. The best person for this role will be consultative, professional, and commercially minded. You should be able to make patients feel cared for while also helping the business increase booked appointments and reduce lost leads.

Speed-to-lead response time.
Number of outbound calls and follow-ups completed.
Number of conversations started.
Number of consultations and appointments booked.
Lead-to-booked appointment conversion rate.
Accuracy of CRM pipeline management.
Quality of patient communication and notes.
Daily reporting submitted accurately and on time.
Ability to identify trends, objections, barriers, and missed opportunities.
Consistent communication with leadership on what is happening in the pipeline.
Schedule
This is a full-time remote position.
You must be available to work hours aligned with U.S.-based medical aesthetics and plastic surgery practices. 9pm - 6am (PST)
Some flexibility may be needed for campaign follow-up, urgent lead response, or special promotions.
