About the Role

This role sits at the center of the organization, providing high-impact support to the CEO, Board of Directors, and funding partners to ensure strategic priorities move forward smoothly and on time. You will manage complex workflows, track milestones, and coordinate planning, reporting, and communications across teams, while producing high-quality materials for Board meetings, limited partners, and external engagements. The role combines strong project management, executive support, and communications skills.

Job requirements

COO Support

  • Track and monitor project milestones, timelines, and deliverables

  • Provide high-quality scheduling support, including preparing agendas and capturing clear, actionable notes from key meetings.

  • Coordinate strategic planning and business planning processes, including scheduling, workflow coordination, and internal communications to ensure clarity and alignment across pillars.

Executive Office CEO

  • Support the CEO on key projects by capturing notes, developing presentations, and conducting research and due diligence to inform decision-making.

  • Prepare the CEO for Board meetings and engagements with limited partners, including briefing materials, background research, and coordination of pre-read materials.

  • Partner closely with the CEOs Executive Assistant to ensure seamless preparation for travel, conferences, and overall schedule and priority management.

Board

  • Oversee the development, maintenance and organization of Board documents, governance policies and the Board Guidebook.

  • Partner with the Associate Director of Grants Operations to prepare and finalize grants dockets, ensuring timely progression through board approval

  • Prepare comprehensive Board meeting materials, including meeting packs and presentation decks.

  • Build and maintain the annual Board calendar, coordinating meeting dates, and deadlines

  • Manage Board-related correspondence, coordinating with relevant staff to ensure timely and professional communication.

Funding Partners

  • Maintain an up-to-date calendar and reporting tracker for each limited partner, aligned with their meeting cycles and reporting requirements

  • Project manage all limited partner reporting, bi-annual meeting preparation, and presentation decks

Communications Impact Report

  • Serve as the project manager for the organizations annual Impact Report, overseeing timelines, workflows, and cross-team coordination.

  • Partner with the MEL consultant and graphic designer to ensure the report is completed on time and within budget.

Reporting

  • Coordinate all reporting workflows for the Board and limited partners

Presentation decks

  • Maintain a centralized slide library and develop tailored presentation decks for Board meetings, limited partner updates, and outreach to prospective partners

External Comms

  • Support the CEO and senior team in developing talking points, briefing materials, and preparation for external speaking engagements and high-priority meetings

  • Support the Communications Advisory team to coordinate responses to external communications requests.

  • Oversee the development and maintenance of content on GCF website and partner with Operations to implement any needed updates.

  • Provide overall supervision and coordination of the contracted graphic designer.

Internal Comms

  • Support the COO, CEO, and Operations team in developing and delivering clear, timely communications to the broader staff.

Qualifications

  • 5-8+ years of experience in executive support, project management, operations, or a similar role in a mission-driven or fast-paced organization.

  • Demonstrated ability to manage multiple complex projects simultaneously, track timelines, and meet deadlines with minimal oversight.

  • Exceptional written and verbal communication skills, including experience drafting briefing materials, presentations, and polished internal and external communications.

  • Strong organizational and documentation skills, with experience managing Board materials, governance documents, and confidential information.

  • Proven ability to support senior leaders (CEO/COO), including meeting preparation, note-taking, research, and follow-up on key priorities.

  • Experience coordinating with Boards, funders, or external partners, including managing calendars, reporting requirements, and meeting cycles.

  • High level of attention to detail and sound judgment, particularly when handling sensitive information and competing priorities.

  • Comfort working cross-functionally and building effective relationships with internal teams, consultants, and external partners.

  • Proficiency with common productivity and collaboration tools (e.g., Google Workspace, Asana, Zoom, etc).
