We are searching for a highly motivated and process-oriented person who is excited to help us build our firm’s infrastructure and support extraordinary philanthropists with grants management to tackle major problems and inequities.
GRANTS MANAGER
We’re looking for a Grants Manager to support our grants administration and management as a critical part of our Philanthropy Management team who will lead the Grants Management function for multiple clients.
RESPONSIBILITIES
The scope of work could include the following:
Systems and Process Design & Improvement:
Lead and manage new Grants Management System (GMS) implementations to client specifications, as needed;
Design, implement and coordinate grants administration workflows and processes using Boldly Go’s grants management system on behalf of multiple clients;
Own GMS data and reporting, ensuring that accurate and relevant data is surfaced regularly and available on-demand;
Create Standard Operating Procedures and identify opportunities to streamline and standardize for consistency across Boldly Go’s clients;
Leverage internal and external resources, including artificial intelligence tools, to continuously improve grantmaking tools and templates;
Grants Management:
Facilitate and support grant lifecycle end to end, from inviting applicants to preparing grant agreements and ensuring payments and agreements are fully executed;
Screen grant applications and reporting materials for completeness and conduct follow up procedures as needed;
Support grantees, providing technical assistance and answering any questions about grant process, deadlines and requirements;
Conduct compliance reviews to ensure that grants and expenses are executed according to IRS guidelines; liaise with external counsel as needed;
Monitor for grantee reports coming due or past due and support the collection and review of these reports;
Track expenditures against foundation Minimum Distribution Requirement and approved budgets;
Monitor and report on the pipeline, including multi-year commitments and future projections;
Work directly with Boldly Go’s Finance & Accounting partner to ensure payments are executed and records, such as statements of activity, are accurate.
Team and Client Support:
Support the development of client-facing materials, such as board dockets, with high attention to detail;
Maintain grantmaking best practices, staying informed on sector developments and sharing with program staff;
Anticipate the needs of clients and program staff with a solid understanding of timelines and preferences.
Other:
Collaborate with internal Boldly Go team members on the design and evolution of philanthropy management services;
Contribute and shape Boldly Go’s company culture through participation in team meetings, annual retreats, and internal committees.
QUALIFICATIONS
Passion for social change, and clear interest in working in the social sector;
Experience in grants administration and management systems, eg. Temelio, Foundant;
Savvy and skilled in managing, learning, and navigating software platforms including Project Management tools (Asana preferred);
Microsoft Office skills required;
Detail-oriented and well-organized;
Proven ability to manage time well and balance multiple priorities;
Self-starter with track record of accomplishment while working in a remote environment;
Maintains integrity when handling sensitive client and grantee information;
Demonstrated ability to work autonomously as well as collaboratively as part of a team;
Strong client-service orientation; flexibility and professionalism in service of the client’s priorities, comfort interacting with HNW families, individuals and executives;
Comfort in rapidly changing environment of a young, lean organization; ready to problem-solve and adapt;
Some familiarity with additional charitable vehicles, such as Donor Advised Funds, preferred;
Experience supporting multiple teams/stakeholders a plus.
