Reports to: CEO Status: Full-Time

Location: Remote, no travel required

Location Requirement: This position is fully remote; however, we are only able to consider candidates who are legally authorized to work in the United States at this time. We are not able to provide international sponsorship or support for visas or work permits. Applicants must be currently residing in the U.S. and eligible for employment.

We provide a range of international pet relocation services—including full-service, partial, and documentation-only options—tailored to our clients’ needs. We handle everything from pre-export paperwork and vet coordination to flight bookings and customs clearance. Our clients move for work, personal reasons, military or service-based relocations, or retirement. Regardless of the reason, our clients rely on us for peace of mind during these major life transitions.

ABOUT THE ROLE:

The Global Relocation Operations Coordinator supports international pet relocations by coordinating the many operational details that help moves progress smoothly — including travel timing, documentation status, and partner communication. This role works closely with Global PetRelocation Managers (RMs), vendors, airlines, and internal teams to keep relocations organized, accurate, and on track.

In this context, “operations” refers to service coordination and execution rather than supply chain management, freight operations, or global trade. While many aspects of the work follow established processes, the role requires thoughtful prioritization and adaptability.

Timing shifts, documentation gaps, and vendor constraints are common, and the Coordinator is expected to assess situations, adjust plans as needed, and flag issues appropriately. Internally, this work includes logistics-related coordination; however, the role itself is structured as an operations and service coordination position rather than a logistics career track.

This position is well-suited for someone who enjoys balancing structure with problem-solving, can manage multiple relocations at different stages, and takes ownership of their work without requiring constant direction.

While the role involves hands-on execution of logistics-related tasks, success requires more than completing individual assignments. The Coordinator is expected to understand how their work fits into the broader relocation process, work comfortably within established systems, and contribute to improving accuracy, consistency, and workflow over time. This is not a systems design role, but candidates should be curious about how tools and processes support effective operations.

Essential Duties and Responsibilites:

Travel Planning & Coordination

  • Coordinate and support established travel plans for international pet relocations

  • Work with a defined group of airlines, agents, and service partners to confirm availability, requirements, and timing

  • Support the creation and maintenance of move timelines in partnership with Global PetRelocation Managers (RMs)

  • Adjust plans as needed when documentation status, timing, or vendor availability changes

Booking & Documentation Support

  • Assist with flight bookings and confirmation of logistics services using established workflows

  • Coordinate required shipment documentation, including air waybills and travel-related paperwork

  • Ensure shipment details are accurate and shared appropriately with internal teams and external partners

  • Support import permits, quarantine reservations, and destination coordination as applicable

Travel Day & Shipment Support

  • Provide support for active shipments, partnering with Global PetRelocation Managers during travel days to help resolve issues that arise

  • Communicate with agents and vendors to help resolve issues during transit

  • Track and collect required post-shipment documentation

Systems, Accuracy & Collaboration

  • Maintain clear, accurate shipment records in Salesforce

  • Use internal tools and templates to track relocation and logistics details consistently

  • Communicate clearly to manage expectations with vendors, agents, and internal stakeholders

  • Proactively flag process gaps, recurring issues, or areas where additional structure, documentation, or clearer ownership would reduce rework, using established channels and collaborating with relevant stakeholders

  • Contribute feedback and suggestions to improve workflows, templates, and shared resources

REQUIRED BACKGROUND & EXPERIENCE

  • Strong organizational skills and attention to detail

  • Ability to manage multiple priorities and shifting timelines

  • Clear written and verbal communication skills

  • Comfort working within structured, documentation-heavy, or compliance-driven environments, with an interest in understanding how systems and processes support accuracy and scale

  • Ability to prioritize assigned work over exploratory or ad hoc tasks when timelines require focus

  • Comfort working independently in a remote environment

  • Ability to exercise sound judgment and escalate issues appropriately

Experience in logistics, travel coordination, operations, customer support, or administrative roles is helpful but not required.

PREFERRED QUALIFICATIONS

  • Experience working in a small or growing company

  • Exposure to international services or regulated environments

  • Familiarity with CRM systems (Salesforce preferred)

  • Comfort using standard productivity tools (Microsoft Office / Google Workspace)

  • Associate’s or Bachelor’s degree (any field)

GROWTH POTENTIAL:

This role is intentionally designed as an entry point into the Global PetRelocation Manager (RM) career path for individuals who demonstrate strong execution, sound judgment, and an interest in how systems and processes support effective work and client-facing service. Progression is based on demonstrated readiness and business need, rather than a fixed timeline. With demonstrated performance, process ownership, and cross-functional collaboration, individuals in this role may be eligible to transition into an RM position within 1–2 years.
