Event Operations Coordinator

The Event Operations Coordinator is responsible for the end-to-end operational execution of internal and external events for an IT / tech company — including conferences, trade shows, product launches, webinars, customer workshops, hackathons.
You will report directly to the Event Lead and translate high-level marketing or business goals into detailed operational plans, coordinating venues, vendors, technology, logistics, assets and data to ensure events run smoothly, on time and within budget. You will work closely with Marketing, Sales, Product, HR, IT and external partners to deliver events that support pipeline generation, brand awareness and employee engagement.
Job Description
Your Responsibilities:
Translate event briefs into task lists, timelines, checklists and keep them up to date.
Coordinate with vendors (venues, catering, printing, AV, merch): request quotes, confirm details, track delivery.
Collect data for contracts, submit requests to Legal and track status until signing.
Maintain and promptly update event schedules and agendas; communicate changes to stakeholders.
Collaborate with Marketing, Sales, Product, HR and IT on messaging, demos, speakers and logistics.
Manage design & production workflow: brief designers, follow up on assets, ensure print-ready files are delivered on time.
Work with HubSpot (or similar CRM) to maintain event contact lists, update leads/meetings and ensure data is ready for follow-up.
Support basic market & competitor analysis around key events and prepare short summaries with key findings.
Qualifications
We Expect You to Have:
1–3+ years’ experience in events, marketing operations or project/operations coordination (B2B tech / IT is a plus).
Strong organisational and project management skills; ability to handle multiple events and deadlines.
High attention to detail and sense of ownership: you drive tasks to completion.
Proactive, solution-oriented mindset; you don’t need micro-instructions for obvious next steps.
Experience working with vendors and basic contract/admin processes.
Hands-on experience with HubSpot or another CRM is a strong plus.
Confident user of Google Workspace / MS 365 (Sheets/Excel, Docs/Word, Slides/PowerPoint) and Slack/Teams.
Good written and spoken English.
