The Role
Medical Office Associate
Overview:
We are looking for a meticulous and proactive Medical Document Manager to join our team. This role is essential for overseeing the management of patient documents, coordinating communication with healthcare providers and hospitals, and ensuring the timely and accurate distribution of medical records and documents. The ideal candidate will have strong organizational skills, excellent communication abilities, and a commitment to maintaining confidentiality and compliance with healthcare regulations.
Responsibilities: Project Management of Patient Documents: ● Organize and track patient documents, including medical records, test results, treatment plans, and other healthcare-related documents. ● Develop and maintain comprehensive project plans and timelines for document management activities, ensuring deadlines are met and tasks are completed accurately.
Communication with Providers and Hospitals: ● Serve as the primary point of contact for communication with healthcare providers, hospitals, and medical facilities regarding document requests and coordination. ● Make outbound calls and emails to healthcare providers and hospitals to request medical records, diagnostic reports, imaging studies, and other relevant documents. ● Follow up with providers and hospitals to ensure timely receipt of requested documents and resolve any issues or discrepancies.
Document Distribution and Tracking: ● Facilitate the distribution of medical records and documents to patients, healthcare providers, insurance companies, legal representatives, and other authorized parties. ● Maintain accurate records of document requests, communications, and document distribution activities, utilizing electronic document management systems and databases. ● Track and monitor the status of document requests, ensuring that all parties receive the necessary information within established timelines.
Quality Assurance and Compliance:
● Conduct regular audits and reviews of patient documents to ensure accuracy, completeness, and compliance with regulatory standards, including HIPAA regulations. ● Implement quality control measures to identify and address any errors, discrepancies, or missing information in patient records and documents. ● Ensure that all document management processes adhere to organizational policies and procedures, as well as industry best practices.
Qualifications:
● Bachelor's degree in healthcare administration, medical records management, or a related field preferred. ● Previous experience in medical document management, patient coordination, or healthcare administration is highly desirable. ● Strong knowledge of medical terminology, HIPAA regulations, and medical record-keeping practices. ● Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. ● Effective communication and interpersonal skills, with the ability to interact professionally with patients, healthcare providers, and other stakeholders. ● Proficiency in electronic health record EHR systems. ● Attention to detail and a commitment to maintaining the confidentiality and privacy of patient information
Must be willing to work 9AM to 5PM Pacific Standard Time
