Chief of Staff

WHAT YOU'LL WORK ON
We're seeking a sharp, organized Chief of Staff to support Qualia's CEO. This is a traditional Chief of Staff role focused on keeping the CEO's office running smoothly, and supporting him on critical special projects. You'll manage the day-to-day operations that allow our CEO to focus on building the company, and you'll gain exposure to every part of the business.
RESPONSIBILITIES
Manage CEO's calendar, inbox, and meeting preparation
Prepare materials for board meetings and investor communications
Coordinate executive team meetings and track follow-up items
Handle special projects across strategy, operations, and partnerships
Serve as a liaison between the CEO and other departments
Draft internal communications and presentations
Use AI tools to streamline administrative work and surface insights from company data
YOUR BACKGROUND THAT LIKELY MAKES YOU A MATCH
Bachelor's degree from a top-tier institution in economics, business, engineering, or related field
0-4 years of experience in consulting, finance, operations, or a high-growth startup
Exceptional organizational skills and attention to detail
Highly fluent with AI tools (Claude, ChatGPT, etc.) for research, analysis, writing, and automation
Strong written communication – you can distill complex information into clear, concise formats
Comfortable working across all levels of an organization
High agency and judgment – you know when to escalate and when to solve
Quick learner who thrives in ambiguity
While our preference is that this role is based in Austin, Texas, we're open to exploring remote possibilities for highly qualified candidates.
