Senior HubSpot Operations Specialist
About The Role
We’re looking for a senior, hands-on HubSpot operator who loves building efficient systems and solving problems and helping teams move faster.
You’ll work closely with our Growth Systems Architect to streamline operations, manage day-to-day HubSpot processes, and uncover opportunities to make our marketing and sales ecosystem more efficient, ensuring that reporting, workflows, and processes all work together to drive scalable growth.

What you’ll do:
1. Support and optimise HubSpot operations
Manage day-to-day HubSpot activity - reporting, lists, imports / exports, property updates, and CRM hygiene.
Maintain naming conventions and data integrity across all objects and properties.
Triage and complete ad-hoc requests from the growth, sales, and marketing teams ensuring quick turnaround, precision, and clear communication.
2. Build and refine workflows & automations
Implement and optimise lifecycle, lead-scoring, nurture, and handover workflows.
Proactively identify opportunities to automate repetitive tasks and improve visibility across the funnel.
Test, QA, and troubleshoot automations and integrations with connected tools (e.g. Zapier, ad platforms, data warehouse).
3. Reporting & Insights Enablement
Build and maintain operational dashboards that surface key metrics for marketing and sales.
Ensure reports are accurate, consistent, and aligned with how the business defines each stage of the funnel and performance marketing metrics (CPL, CAC, ROAS, lead-to-opportunity rates, etc.).
Partner with the Growth Systems Architect to enhance attribution, lead quality, and lifecycle visibility.
4. Document & Enablement
Create simple, well-structured internal documentation, playbooks, and Loom walkthroughs to support wider HubSpot adoption.
Assist non-technical users understand how to access and interpret HubSpot data and any built-in or integrated tools.
5. Drive continuous improvement
Identify inefficiencies or data-flow gaps, propose practical fixes, and implement with minimal supervision.
Continuously improve internal processes to ensure faster response times and better visibility.
Stay current on HubSpot features and recommend new ways to streamline processes or enhance reporting.
Collaborate with the Growth Systems Architect to explore and implement emerging technologies - including AI tools, HubSpot Agents, and automation features - that drive smart, more scalable growth across the business.
What you’ll bring:
2–4+ years of hands-on HubSpot experience: Marketing and Sales Hubs preferred.
Proven analytical and reporting skills: you can build and troubleshoot workflows, reports, and sophisticated dashboards that tell a story.
Strong understanding of CRM structure: especially lifecycle stages, and attribution logic.
A process and systems mindset: you see inefficiency as a challenge to be solved, not a frustration and you enjoy making things more efficient and repeatable, while maintaining data hygiene and best-in-class processes, ensuring nothing slips through the cracks and every system runs predictably.
Excellent communication skills: Collaborative and proactive approach to supporting cross-functional teams, and able to turn complex data into clear insights and documentation.
Explicit attention to detail and process driven: confidence to operate autonomously and suggest improvements, with the ability to balance day-to-day tasks with longer-term improvement projects.
Bonus: Experience with data connectors, conversion tracking and automation tools such as Google Looker Studio, Supermetrics, Meta Pixel Conversions API, and Zapier.
Big bonus if you have an understanding of performance marketing: and metrics that matter (CPL, CAC, ROAS, pipeline velocity, etc.).
