PowerSchool Registrar
PowerSchool Registrar — Multi‑Campus (New York & Washington)
Location: Remote (supports on-site staff in NY & WA)
We are seeking a meticulous PowerSchool Registrar to own data quality across our New York and Washington campuses. This role will audit, coach, and correct attendance and enrollment coding performed by on-site school staff; manage new-student additions; produce official records (report cards, transcripts, attendance records) in compliance with applicable local and federal laws; and lead district rollover activities (terms, classrooms, demographic updates). This position can be performed remotely and will collaborate closely with site staff, school leaders, IT, and the PowerSchool Administrator.
Key Responsibilities
Audit attendance and enrollment coding entered by on‑site staff on a regular cadence (daily spot checks; weekly audits; monthly trend reports).
Identify, document, and correct data quality issues in PowerSchool; communicate findings and coach on‑site staff to prevent recurrence.
Own new-student onboarding into PowerSchool (new enrollments, demographic setup, residency/eligibility checks, file attachments).
Prepare and deliver official student records on request (report cards, transcripts, attendance records) in accordance with FERPA and state/local regulations.
Lead and coordinate the district rollover / year‑end processes: create new school years/terms, set up classrooms/sections, verify bell schedules and attendance conversions, and validate Next Year indicators.
Maintain and improve SOPs, job aids, and SharePoint documentation for site-level data entry and PowerSchool best practices.
Run, validate, and distribute standard and ad‑hoc PowerSchool reports and extracts used by leadership, billing, and special programs teams.
Oversee/assist PowerSchool Help Desk tickets from school staff via One to One Plus platform.
Provide onboarding and periodic, remote training for school office staff on attendance/enrollment coding standards, Special Programs workflows (when used), and document handling.
Support compliance reporting (state and district extracts) by preparing datasets, performing validation checks, and responding to internal inquiries.
Success Measures
Examples of how success will be measured in this role:
Reduced frequency of incorrectly coded attendance/enrollment entries reported by school audits.
Timely delivery of official student records and compliance reports.
Smooth year‑end rollover with minimal data remediation required.
Positive feedback from school leaders on effectiveness of coaching and documentation.
Required Qualifications
Minimum 3 years hands‑on experience using PowerSchool SIS (enrollment, attendance, scheduling) in a K–12 environment.
Proven experience performing data audits, corrections, and coaching site staff on data-entry standards.
Working knowledge of FERPA and K–12 special education reporting fundamentals (IEP/IDEA concepts).
Experience producing report cards, transcripts, and official attendance records on request.
Comfort with PowerSchool reporting tools (Data Export Manager, ReportWorks/Advanced Reports) or equivalent report-writing skills.
Proficiency with spreadsheets (Excel) and basic data manipulation.
Excellent written/verbal communication skills and experience training or mentoring non‑technical staff.
Ability to work remotely and coordinate across multiple time zones; reliable broadband and a quiet home office.
Qualifications
Bachelor’s degree in Education, Information Systems, Data Management, or related field
PowerSchool certification or formal PowerSchool training.
Familiarity with SQL or writing simple queries is strongly preferred
Experience with PowerSchool Special Programs add‑on and its reporting features.
Prior registrar experience or experience in a private/special‑education school setting.
Familiarity with annual district rollover / end‑of‑year PowerSchool processes.
Experience working with integrations (ParentSquare, Finalsite) and coordinating data imports/exports.
