Job Description

THE POSITION:

The Operations Coordinator will provide essential support to our EU NAVLIN Consulting team, ensuring smooth processes and timely execution of key tasks. This role is ideal for an organized, proactive, and detail-oriented individual with an interest in operational efficiency.

The role is home office based, (full-time position), ideally located in Italy, Spain  or the UK, and the job holder must be legally eligible to work in the European Union or in the UK

Key Responsibilities:

  • Operational Support:

    • Oversee daily management systems, i.e. recruiting, team development and admin of knowledge management

    • Coordinate full-cycle recruiting process of consultants and team feedback as team’s liaison to corporate HR

    • Schedule candidate interviews and coordinate with hiring managers, candidates, HR, external recruiters

    • Support 1-2 job fairs hands-on per year

    • Organize training sessions, onboarding, and ~2-4 in person team meetings per year

    • Streamline and document key processes

  • Administrative Tasks:

    • Manage timesheets, contracting, invoices, and annual timelines

    • Provide conference scheduling and ad-hoc operational support as needed

  • Governance & Communication:

    • Participate in team meetings and governance activities. Use email and digital tools for transparent communication and activity tracking

  • Continuous Improvement:

    • Drive process optimization and automation to enhance team efficiency

  • Ad-Hoc Support:

    • Assist in other operational tasks as needed

    • Support cross-functional teams on various projects and initiatives as they arise

Qualifications

QUALIFICATIONS:

The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.

  • Bachelor’s Degree or equivalent work experience

  • Proven 2-3 year experience as team coordinator or in a similar role, e.g. Executive Assistant

  • Strong organization, problem-solving and project management skills

  • Excellent written and verbal communication skills

  • Ability to work under pressure, meet deadlines, and multi-task

  • Proficiency in MS Word, Excel, PowerPoint, Outlook, Adobe

  • Previous experience in recruitment or operations preferred

  • Detail-oriented with a focus on efficiency and accuracy
