Executive Assistant & Operations at a Venture Capital Firm

We are a growth-stage venture capital firm based in New York, partnering with ambitious founders building category-defining companies. Our team works closely with entrepreneurs, co-investors, and limited partners to support companies through periods of rapid growth. As the firm continues to scale, strong internal coordination and operational excellence are critical to how we work.
In addition to our investing work, we are launching a finance book that reflects our perspective and experience. This project is an important extension of the firm’s brand and thought leadership, and this role will play a meaningful part in its successful launch.
About the Role
The Executive Assistant & Operations role provides comprehensive executive, operational, and logistical support to the firm. This position supports one of our Managing Directors, ensuring smooth day-to-day operations, effective coordination across time zones, and well-organized meetings, communications, and internal processes.
This is a central, trusted role that combines high-level executive support with hands-on operational ownership. The ideal candidate is proactive, highly organized, discreet, and comfortable operating in a fast-moving, entrepreneurial environment. In addition, this role will support the launch and promotion of the firm’s upcoming finance book, including outreach, events, and communications.
Fully remote role, with a start time of 8:00 AM ET. Occasional travel may be required for team offsites, events, or book-related appearances.
Key Responsibilities
Manage partners’ calendars, scheduling, correspondence, and travel arrangements
Maintain systems to track priorities, deadlines, and follow-up actions on behalf of leadership
Serve as a key point of contact for founders, LPs, and external partners
Assist with expense processing, reimbursements, vendor coordination, and fund-related administrative tasks
Maintain contact databases, CRM systems, and shared drives
Support the launch and ongoing promotion of the firm’s finance book
Assist with outreach to media, podcasts, event organizers, and industry partners
Draft and coordinate promotional emails, text campaigns, and follow-up communications
Help plan and execute book-related events, talks, and appearances (virtual and in-person)
Coordinate social media posting and scheduling related to the book and firm thought leadership
Experience & Qualifications
3 - 5+ years of experience as an Executive Assistant, Operations Manager, or similar role
Strong organizational and multitasking skills with exceptional attention to detail
Excellent written and verbal communication skills
High level of discretion and sound judgment when handling confidential information
Proficiency with Google Workspace and comfort learning new tools
Experience working in remote or distributed teams
