JOB TITLE: Senior Executive Assistant LOCATION: Remote (US West Coast preferred)

THE ROLE: 

The Senior Executive Assistant will oversee the daily operations and administrative functions of Splice for Product Development which encompasses both the Engineering and Product organizations, ensuring efficient and effective business processes and support. This role involves managing remote work operations, coordinating with various departments, and supporting executive leaders in their administrative functions. The ideal candidate is a proactive problem solver with strong organizational skills, exceptional attention to detail, and the ability to intuitively and strategically support leaders' calendars.

 

This position is also a hybrid role that includes Events Management and planning. Responsibilities will include planning, organizing, and executing a variety of events, including conferences, summits, high-level departmental meetings, webinars, and internal company gatherings. This role requires a high level of creativity, exceptional organizational skills, strong collaboration skills, and the ability to manage multiple projects simultaneously.

WHAT YOU’LL DO: 

  • Calendar management: Responsible for scheduling appointments, meetings, and events on behalf of the executive. This includes organizing and maintaining the executive's calendar, coordinating availability with internal and external stakeholders, and ensuring that all appointments are accurately reflected and updated as needed.

  • Travel coordination: Manage all requested aspects of the executive's travel arrangements, including booking flights, hotels, transportation, and other accommodations as necessary. This includes researching and comparing travel options, coordinating travel itineraries, and ensuring that all travel logistics are handled efficiently and within budget.

  • Managing expense reports: Oversee the preparation, submission, and tracking of expense reports for the executive. This includes reviewing and organizing receipts, categorizing expenses, and completing expense forms within Expensify. The contractor will ensure that all expense reports are submitted accurately and in a timely manner.

  • Logistical support: Provide logistical support for various administrative tasks and projects as assigned by the executive. This may include organizing and coordinating meetings, preparing meeting materials, setting up conference calls or video conferences, and assisting with other administrative duties as needed.

  • Material support: Assist with managing and organizing materials related to the executive's projects or initiatives. This may include ordering materials as needed, supporting the creation or formatting of presentations or documents, or reviewing documentation.

JOB REQUIREMENTS: 

  • Bachelor’s Degree or equivalent work experience

  • 5+ years of proven experience in an executive assistant or similar role.

  • Proficient in calendar management across time zones, task coordination, and time management.

  • Extremely well organized and detail-oriented

  • High degree of accuracy and meticulous follow-up on tasks and projects.

  • Excellent verbal, written, and interpersonal communication skills

  • Ability to handle sensitive information with discretion and maintain confidentiality

  • Demonstrated ability to anticipate needs, address potential issues, and make quick, informed decisions

  • Take feedback well, but also able to work autonomously with little direction and make decisions as needed, while maintaining excellent communication with stakeholders

  • Experience booking both domestic and international travel

  • Proven experience in planning, organizing, and managing events, including meetings, conferences, and special events

  • Efficient with remote work tools such as Zoom, Google Workspace, and Slack

  • Some ability to travel as required, such as to provide support for offsite meetings
