Sales and Finance Operations Coordinator

Are you a detail-oriented individual with a passion for sales and finance operations? Do you thrive in fast-paced environments and enjoy making processes more efficient? If so, we want you to be a key player in our team!
Key Responsibilities:
Sales Operations:
Sample Management:Oversee the processing of approximately 100 sample requests each month. You'll utilize Shopify to submit sample orders and Google Sheets to track progress.
Promotion Coordination:Maintain our retail promotion calendar using Google Sheets. Collaborate with our sales team by sending email requests for promotional images to ensure activation success (dont worry, well provide you with the calendar and contact list!).
Retailer Tracking:Keep our master store list updated with retailers carrying our products. Confirm new placements with our sales team to ensure accuracy.
Promotion Logging:Log new retail promotion plans into our master calendars to streamline our efforts.
Finance and Operations:
Invoice Processing:Efficiently process accounts payable invoices using the Dear system. Bonus points if you can also handle sending invoices training will be provided!
Order Tracking:Monitor shipped orders in Dear to initiate invoicing, ensuring smooth operations.
Inventory Management:Keep a close eye on finished goods and raw material inventory levels through Dear and Zenventory.
Deductions Tracking:Analyze deductions from distributors and cross-reference them with our promotions calendar. Training will be provided to help you succeed in this task.
Issue Resolution:Collaborate with our outsourced accounting team to resolve billing issues in Dear.
Accounts Payable:Receive AP invoices and manage submissions for payment through bill.com.
Receivables Follow-Up:Take the initiative to follow up on past-due receivables via email, ensuring our financial health.
What You Bring:
Google Sheets or Excel Proficiency:1+ years of experience is essential to manage our data effectively.
Netsuite or Similar Tool Experience:Basic knowledge is a must (less than a year is okay).
Project Management Tool Familiarity:Basic experience with Asana or similar tools is required (less than a year is okay).
Shopify Knowledge:Familiarity with Shopify or similar platforms is a plus.
ERP Experience:Previous experience with ERP or similar returns tools is advantageous.
Night shift: Ability to work on a Night shift (US Pacific Time zone)
