Scope:
The Sales Administrator plays a key role in supporting the Sales team by coordinating administrative tasks and collaborating closely with Vendor Services to facilitate and manage retail marketing initiatives. This role also supports day-to-day sales operations by maintaining accurate sales data, managing reporting and forecasting files, assisting with customer and product setup processes, and ensuring smooth communication between internal departments and external partners. The Sales Administrator contributes to the overall efficiency of the sales function and helps ensure timely execution of vendor programs, promotions, and compliance-related activities.
Duties & Responsibilities:
Sell-Through Reporting
Compile, upload, process, and distribute weekly customer sell-through reports
Respond to vendor-specific and ad hoc data requests as needed
Forecast Management
Set up and maintain vendor and SKU forecast files
Collaborate with Sales and Purchasing teams to develop forecasting templates and consolidate customer data
Track and update monthly sales forecasts
Customer Setup Coordination
Assist in the creation and distribution of new SKU setup forms for various retail partners
Work with Sales and Purchasing to ensure accurate and timely customer setup documentation
Rebate Administration
Maintain and update backend rebate summary files
Gather, organize, and verify all vendor rebate information
Communicate rebate programs internally, collect proof of performance, and log all related activity in rebate tracking systems
MAP Compliance Tracking
Maintain and update Minimum Advertised Pricing (MAP) summary files
Collect and verify MAP updates to ensure policy adherence.
Street Date Management
Create and track street date letters to support vendor-approved launch processes
Monitor shipments to confirm compliance with vendor street date requirements.
Stash Inventory Analysis
Work with Sales and Sales Order Coordinators to evaluate the sell-through performance of stashed inventory
Recommend adjustments to inventory placement to optimize sales opportunities.
Team Support & Collaboration
Provide backup support to the Senior Sales Coordinator and fellow Sales Administrators as required.
Skills & Qualifications:
A degree in Business Administration, Marketing, Sales, or a related discipline is strongly preferred
3+ years of experience is sales administration, sales operations, or a related support role, preferably within a retail or distribution environment
Strong organizational skills with the ability to manage multiple priorities independently and efficiently in a fast-paced environment
Self-motivated and proactive, with the ability to work effectively under minimal supervision
Excellent written and verbal communication skills, with the ability to convey information clearly and professionally
Proven ability to multitask, meet deadlines, and adapt to shifting priorities
Proficient in Microsoft Office Suite, with advanced Excel skills (e.g., formulas, pivot tables, data analysis)
Quick to learn new systems and technologies; comfortable navigating and adapting to various software tools
Experience with Great Plains (Microsoft Dynamics GP) is considered an asset
Consistently represents the company with professionalism, integrity, and a positive attitude, even under pressure
