Recruiting Coordinator
We’re looking for a proactive, detail-oriented Recruiting Coordinator to join our Talent Acquisition team on a contract basis. In this role, you’ll support the end-to-end recruitment process, ensuring a seamless and memorable experience for candidates and hiring teams. As a key member of the recruiting function, you’ll coordinate interviews, manage candidate communications, maintain our applicant tracking system, and contribute to our employer brand efforts.
It’s an exciting time at Apollo—we’re expanding globally and opening a brand new office in Mexico City, with plans to build out an incredible workplace environment and grow the team to over 50 employees by the end of the year. This is a unique opportunity to be part of that growth and play a hands-on role in shaping a world-class candidate experience during a transformative moment for the company.
This role will begin on a 9 month contract with the opportunity to renew or convert to full time.
Key Responsibilities
Interview Coordination: Schedule and confirm interviews, manage calendars across time zones, and communicate logistics to candidates, interviewers, and recruiters.
Candidate Communication: Act as the main point of contact for candidates, ensuring a timely, warm, and personalized experience throughout the interview process.
ATS Management: Keep candidate records up-to-date in our Applicant Tracking System (we use Greenhouse), ensuring data accuracy and pipeline visibility.
Sourcing Support: Review inbound and outbound applicants and assist with early-stage candidate screening.
Job Posting: Draft and post job descriptions across platforms to attract top talent.
Onboarding Coordination: Support the pre-boarding process in collaboration with HR, helping new hires transition smoothly.
Event & Employer Brand Support: Assist with career fairs, recruiting events, and culture initiatives to promote Apollo.io’s brand and values.
Day-of Support: Monitor interview days, troubleshoot real-time issues (e.g. cancellations, tech challenges), and ensure everything runs smoothly.
Reporting: Generate recruitment reports and metrics to help identify trends and opportunities for improvement.
Process Optimization: Proactively identify and suggest ways to make the hiring process faster, smoother, and more candidate-friendly.
Qualifications
1–2 years of experience in recruiting coordination, HR, or a similar administrative role in a fast-paced environment
Familiarity with Applicant Tracking Systems—experience with Greenhouse is a plus
Excellent verbal and written communication skills
Strong organizational skills and ability to manage multiple tasks with precision
Comfortable setting expectations and communicating with multiple stakeholders at once
High attention to detail and ability to handle confidential information with care
Bachelor’s degree in Human Resources, Business Administration, or related field preferred
Proficient in English (C1 level or higher)
