We are seeking a highly organized and strategic Marketing Planning and Project Specialist to join our Global Marketing Services team at Lumivero, a leading B2B SaaS company. This role is crucial in streamlining our marketing operations and ensuring efficient project management. 

The ideal candidate will be a detail-oriented self-starter with a passion for streamlining operations and driving marketing efficiency. They should be comfortable working in a fast-paced environment and have the ability to adapt to changing priorities. 

Key Responsibilities

• Strategic Project Management & Planning 

• Develop, prioritize, and manage comprehensive marketing project plans, including timelines, milestones, and resource allocation 

• Oversee multiple marketing projects simultaneously, ensuring timely completion within scope and budget 

• Conduct project kick-off meetings and facilitate effective communication among cross-functional teams 

• Align project goals with overall marketing strategy and business objectives 

• Serve as the primary point of contact for project-related inquiries and provide regular status updates to stakeholders 

• Prepare and present project status reports for leadership review 

• Conduct post-project evaluations to identify lessons learned and areas for improvement 

• Develop and maintain a comprehensive marketing planning calendar 

Process Optimization & Workflow Management 

• Develop, implement, and continuously improve standardized processes and workflows for the marketing team 

• Create and maintain documentation for team processes, best practices, and project templates 

• Identify and address resource constraints or bottlenecks in team workload 

• Streamline project management processes to increase efficiency 

• Manage tactical integration of newly acquired companies into Lumivero team, processes, and platforms 

• Implement and manage project management tools to enhance team collaboration 

Budget Management 

• Assist in managing the overall marketing budget 

• Track expenses and provide weekly financial reports to Marketing Leadership Team (MLT) 

• Organize and manage marketing invoices for easy reference 

• Process and upload credit card receipts into Expensify monthly 

• Identify opportunities for cost optimization without compromising quality 

Team Systems & Documentation Management 

• Develop and maintain an organized file management system for the marketing team 

• Ensure proper documentation and version control of marketing assets and project materials in Sharepoint, acting as final touchpoint of campaign assets and sharing final assets and Bill of Materials with key stakeholders in a timely manner 

• Implement best practices for security and accessibility 

• Oversee the archiving of project materials for future reference 

Required Skills and Experience

• Bachelor's degree in Marketing, Business Administration, or related field 

• 3-5 years of experience in marketing operations or project management 

• Strong understanding of marketing principles and B2B SaaS industry 

• Excellent organizational and time management skills 

• Proficiency in project management tools and marketing automation platforms 

• Strong analytical and problem-solving abilities 

• Exceptional communication and interpersonal skills 

Benefits

• Annual base salary is $85,000 depending on qualifications.
