HRIS Migration Project Manager

Zepz is undertaking a critical initiative to transform its People Team technology landscape. We are seeking an experienced and driven HRIS Migration Project Manager for a one-year fixed-term contract.  This role will be singularly focused on leading and owning the complex migration of our current decentralised People Team technology stack into a streamlined, centralised architecture.

Reporting directly to the Director of People Operations, the HRIS Migration Project Manager will be the program implementation lead, chiefly responsible and accountable for the planning, execution, and successful delivery of this next phase of maturity for our HR technology framework.  The ultimate goal is to create a centralised tech stack that enhances efficiency, improves data integrity, and facilitates a significantly easier and more intuitive experience for all employees.

Core Remit & Deliverables:

  • Program Leadership & Ownership:  Serve as the dedicated project leader, taking full ownership of the end-to-end HRIS migration and go-forward implementation program.

  • Centralized Architecture Implementation:  Lead the strategic planning and execution to consolidate disparate People systems and processes into a single, integrated, and centralized architecture.

  • Project Planning & Management:  Develop and manage comprehensive project plans, including scope, timelines, budget, resources, and risk assessment and mitigation strategies.

  • Stakeholder Management:  Build and maintain strong relationships with key stakeholders across the People Team sub-functional areas (Payroll, Rewards/Benefits, Talent Acquisition, Learning, etc.) Corporate IT, Finance, and other relevant departments to ensure alignment, buy-in, and successful adoption.

  • Vendor Management:  Collaborate effectively with external technology vendors, managing their deliverables and ensuring their work aligns with the project goals and timelines.

  • Data Migration & Integrity:  Oversee the complex process of data extraction, transformation, cleansing, and loading from legacy systems to the new centralized platform, ensuring data accuracy and integrity throughout the migration.

  • Process Transformation:  Coordinate with People Team leadership members and their teams to analyze and redesign existing processes to align with the capabilities of the new centralized system and related ancillary systems, driving efficiency and best practices.

  • Change Management & Training:  Develop and execute a robust change management and communication plan to ensure a smooth transition and high user adoption across the organization.  This includes identifying training needs and overseeing the development and delivery of training programs.

  • Risk Management & Issue Resolution:  Proactively identify potential risks and issues, develop mitigation plans, and drive timely resolution to keep the project on track.

  • Reporting & Communication:  Provide regular, clear, and concise project updates, reports, and presentations to People Team leadership and other key stakeholders across the business.

  • System Testing:  Plan and oversee all phases of testing, including unit testing, system integration testing, and user acceptance testing (UAT), to ensure the new system meets business requirements.

Qualifications and Experience:

  • Proven experience in a similar capacity leading complex HRIS implementation or migration projects.

  • Demonstrated experience in migrating from decentralized to centralized People team technology environments is highly desirable.

  • Strong understanding of various People functions and processes (e.g., Core HCM, Payroll, Benefits, Talent Management, Time & Attendance).

  • Experience working with diverse People technology platforms and a strong understanding of HRIS architecture.

  • Excellent project management skills, including planning, organization, and execution, with a proven ability to deliver projects on time and within budget.

  • Exceptional stakeholder management, communication, and interpersonal skills, with the ability to influence and collaborate effectively at all levels of the organization.

  • Solid understanding of data migration processes and best practices.

  • Experience with change management methodologies and their application in technology implementations.

  • Ability to work independently, prioritise effectively, and manage multiple tasks simultaneously in a fast-paced environment.

  • Strong analytical and problem-solving skills.

  • Proficiency in project management tools and software.

  • A Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related field, or equivalent practical experience.

  • Project Management certification is a plus.
