ABOUT THE ROLE:
The Global Vet Support Specialist serves as the lead coordinator of veterinary documentation and government endorsement services for our Service team. This is a detail-heavy, autonomous role that requires strong decision-making, critical thinking, and high ownership.
You will collaborate primarily with Global PetRelocation Managers (our client-facing team), followed by veterinarians, veterinary clinics, and USDA officials to facilitate complex international pet moves. Your work ensures accurate, timely, and compliant preparation of health certificates and supporting documents across a wide range of country-specific import regulations.
This role is ideal for someone who thrives in a fast-paced environment, enjoys managing intricate processes from start to finish, and brings a mindset of continuous improvement. We're looking for someone who not only completes tasks with precision but also seeks opportunities to refine workflows and enhance systems—for the benefit of our internal team, our clients, veterinary clinics, and USDA partners. This position requires significant research and the ability to navigate nuanced logistical considerations, as veterinary health requirements often dictate when a move can occur. You will work independently the majority of the time, exercising sound judgment and professional discretion in carrying out the responsibilities below.
Essential Duties and Responsibilities:
Manage Pet Records and Government Endorsements
Interpret and validate incoming pet vaccination records, and request additional information or corrections as needed based on destination country requirements
Identify and correct issues in vaccination records or documentation presentation to ensure they meet the specific formatting and regulatory requirements of each destination country
Coordinate with veterinary clinics and USDA officials for endorsement of international health certificates (VEHCS and physical submissions)
Coordinate shipping logistics and track documentation for vet packs (including health documents and other important information), ensuring timely delivery to and from USDA and veterinary clinics
Submit digital documentation as required by local or international authorities
Create & Manage Timelines and Tracking Tools
Draft personalized pet vaccination timelines
Track and manage multiple document flows across USDA, vet clinics, and PetRelocation
Use tools such as Conga Composer, Adobe Acrobat, and other smart platforms to streamline documentation, ensure accuracy, and reduce manual entry
Audit Salesforce veterinarian records and ensure accuracy and completeness
Provide Guidance at Vet Appointments
Guide veterinarians and pet owners on completing international health certificates
Provide tailored appointment checklists and step-by-step instructions
Be accessible during appointments to answer questions and ensure regulatory compliance
Contribute to Process Improvement & Collaboration
Operate with a high level of autonomy to identify and recommend process improvements
Partner with internal stakeholders to align on system enhancements
Stay current with international pet travel regulations and VEHCS updates
General Duties
Maintain professional relationships with vet offices, USDA contacts, couriers, and internal teams
Use our CRM (Salesforce) to document actions and decisions thoroughly
Share insights, improvements, and suggestions with the team
Engage in vet and government training to stay informed and ensure accurate interpretation of evolving health regulations. Apply professional judgment when integrating complex or ambiguous requirements into operational workflows.
REQUIRED BACKGROUND AND EXPERIENCE:
A continuous improvement mindset with a desire to make systems and processes more efficient, accurate, and scalable
Strong critical thinking and attention to detail
Excellent written and verbal communication skills
Confidence in making decisions with limited supervision
High comfort navigating changing requirements and ambiguity
Prior experience in logistics, documentation, veterinary services, or compliance roles is valued
Ability to manage timelines, prioritize tasks, and proactively prevent issues
PREFERRED QUALIFICATIONS:
Experience in remote environments and small business operations
Familiarity with Salesforce, VEHCS, and tools like Conga and Adobe Acrobat
Working knowledge of international documentation or regulatory standards
Associate’s or Bachelor’s degree (any field)
GROWTH POTENTIAL:
This role provides a path to becoming a Global PetRelocation Manager (RM), the core client-facing role at our company. With demonstrated performance, process ownership, and cross-functional collaboration, individuals in this role may be eligible to transition into an RM position within 1–2 years.
