About the Company

Athennian increases trust in business. Our products help legal, finance, and tax teams be transaction and audit-ready by organizing business entity and corporate structure information. Over 370,000 business entities in almost every country are managed on Athennian to automate workflows for ownership, company secretarial, governance, tax, and compliance.

About the Role

We’re hiring an Executive Operations Associate to provide high-level support to our leadership team while driving coordination across key commercial initiatives. This role combines core Executive Assistant responsibilities—like calendar management, travel, and meeting logistics—with project coordination and cross-functional collaboration. Reporting to the Director of Operations, you’ll be the force behind seamless executive scheduling, travel, and board coordination, while also contributing meaningfully to go-to-market programs, event execution, and stakeholder engagement. You’ll work closely with senior leaders across Marketing, Sales, Customer Experience, and Partnerships—earning a front-row seat to strategic decision-making and leadership operations. This is more than a support role—it’s a launchpad. For someone ready to take ownership, move fast, and grow into a more strategic operator, this is your opportunity to make a real impact.

Responsibilities:

  • Executive Support & Calendar Management:

  • Manage complex calendars for senior leaders, ensuring alignment with company priorities and minimizing scheduling conflicts.

  • Coordinate travel, agendas, and logistics for executive roadshows, internal summits, and customer events.

  • Serve as the point of contact for high-touch executive engagements, including customer dinners, investor meetings, and partner visits.

  • Board and Meeting Coordination:

  • Own logistics for quarterly Board meetings: prepare and distribute agendas and materials, track executive prep, and coordinate related events.

  • Support internal meeting planning for strategic sessions such as leadership offsites, quarterly planning, and functional reviews.

  • Cross-Functional & Project Support

  • Track deliverables and milestones for key GTM initiatives such as product launches, field events, and campaign rollouts.

  • Maintain shared documentation including project trackers, decision logs, calendar cadences, and team briefings to ensure continuity and accountability.

  • Act as a connector across Marketing, Sales, Customer Experience, and Partnerships to ensure executive involvement is timely and impactful.

  • Event Logistics

  • Collaborate with Marketing to coordinate executive participation in customer activations, conferences, and internal events.

  • Track pre- and post-event needs such as briefings, materials, follow-ups, and engagement outcomes.

What You Bring:

  • 2–4 years in project management, executive operations, or event logistics, ideally in a B2B SaaS or professional services (finance, legal, etc.) environment.

  • Demonstrated ability to support senior leaders with discretion, professionalism, and urgency.

  • Strong organizational skills and the ability to manage shifting priorities in a fast-paced environment.

  • Understanding of how commercial teams (sales, marketing, partnerships, customer experience) operate and interact.

  • Excellent communication and follow-through, with a proactive mindset and strong attention to detail.

  • Bonus: experience supporting revenue or marketing leaders in a high-growth company.

What Success Looks Like:

  • Executive schedules run smoothly, with strategic priorities well-supported and interruptions minimized.

  • Internal and external meetings, events, and engagements are executed flawlessly and aligned to business outcomes.

  • Cross-functional initiatives move forward efficiently because you ensure deliverables are clear, timelines are tracked, and blockers are escalated early.

  • Leaders can focus on strategic work because logistics, coordination, and communication are fully handled.

Location

We have embraced a distributed model of working to reach the best talent in the world. While some roles may require proximity to our Toronto, Calgary and Vancouver offices, roles based outside our office locations can be remote in Canada and the US. Please only apply if you are able to live and work full-time in the US and Canada.

Our Culture

Our company thrives in a fast-paced startup environment where every team member plays a critical role in driving success. We value ambitious, results-driven individuals who are not only proactive in identifying opportunities but are also committed to going the extra mile. In our culture, collaboration and initiative fuel our growth as we embrace new challenges, learn constantly, and move quickly to seize opportunities. If you're a go-getter who thrives on impact and thrives in a dynamic setting, you'll fit right in.

Our values are:

Outcome Driven: We focus on setting ambitious goals and achieving measurable results, valuing success by the outcomes we deliver.

Wide Responsibility: Our team is empowered to shape success, taking ownership from problem identification to solution implementation.

Learning Mindset: We embrace curiosity, rejecting the status quo and encouraging continuous learning and agility.

Strategic Speed: We make fast, effective decisions and embrace a bias for action to seize opportunities quickly.

Benefits at Athennian

We’re a remote-first company built on trust, autonomy, and accountability. With that flexibility comes responsibility — we’re a lean team where everyone is expected to bring their full effort and expertise. We believe in real work-life balance: every employee starts with a minimum of three weeks of vacation, five sick days, and six personal or flex days, plus a company-wide winter holiday shutdown so everyone can rest and recharge together.

Our benefits are designed to support your well-being in meaningful ways. You’ll have access to comprehensive health, dental, and vision coverage, long-term disability, accidental death & dismemberment, an Employee Assistance Program, and a Health Spending Account to help cover additional expenses. We also offer flexible parental leave benefits, including options for top-ups or additional paid time off — because family matters. And to help you get set up for success from day one, we provide a work-from-home allowance.
