Job Description

We are actively seeking a long term Executive Events Assistant to support our Executive Producer. This is an excellent opportunity for a meticulous individual with events experience to work alongside an event agency that is growing and expanding.
In this role, you will be responsible for administrative and event planning tasks, including creating and managing a database of prospects, overseeing intricate schedules and calendars, researching pricing, interacting with outside vendors and multiple levels of staff, managing contact lists, arranging appointments and meetings, coordinating logistics and materials, setting up event spaces, and assisting with other special projects as needed. Travel on site to events is required from time to time.
This position is integral to our operations, and we are looking for a personable, meticulous, and team-oriented individual with knowledge of meeting and event planning, strong multi-tasking skills, and a “no task is too big, too small or too mundane” mindset.
Qualifications:
- Background in events and meeting coordination
- Organized and detail-oriented with excellent project and time management skills
- Customer service-oriented
- Quick and efficient multitasker with the ability to meet tight deadlines
- Ability to stay ten steps ahead and address urgent situations with poise
- Easygoing, personable, and professional demeanor
- Flexibility to adapt to last-minute changes
- Exceptional note taking skills
- Proficiency in MS Office; strong PowerPoint and Excel skills required. Adobe Photoshop or Illustrator knowledge a plus.
- Must be DFW based, Collin County a plus
