The Executive Assistant will support the President of Insureon and will act as a liaison between the leadership team, business leaders, prospects and senior leaders in the industry. The Executive Assistant needs to embody the values of Insureon in interactions with our leaders and our staff. A strong service attitude, pleasant, positive disposition, excellent written and oral communication skills, strong personal organization, detail orientation and consistent follow-through are critical for success in this role. This person must be someone who loves being an Executive Assistant, takes pride in his or her work, is smart, perceptive, extremely competent, quick, and eager to be always two steps ahead, yet relates easily to people at all levels. Responsibilities:
Manage scheduling for company executives (CEO and President) including meetings, appointments, speaking engagements, etc.
Keep the company executives advised of time-sensitive and priority issues, ensuring appropriate follow-up
Draft, review and send communications on behalf of company executives
Maintain various records and documents
Coordinate work with senior leadership team as needed; play a key role in the coordination of all senior staff efforts
Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries
Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials
Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material
Prepare, reconcile, and submit expense reports on behalf of company executives
Coordinate travel arrangements on behalf of company executives
Routinely perform a wide variety of support duties
Assist and execute local cultural initiatives
Sort and triage mail; maintain e-mail and other address directories
Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages, as necessary
Maintain paper and electronic filing systems
Desired Experience:
Bachelor’s degree required
Self-starter with ability to pay attention to detail
Excellent written and verbal communication skills
Time-management skills
Organization skills
Ability to multitask
Adept at using computer software and programs, such as Microsoft Word, Excel and PowerPoint
Someone who exhibits sound judgment with the ability to prioritize and make decisions
Energetic and eager to tackle new projects and ideas
Comfortable interacting with high-level executives
A team player capable of cultivating productive working relationships across the firm
Thrives in a fast-paced environment
Exceptional writing, editing, and proofreading skills
