Executive Administrative Assistant
Job Purpose:
We’re seeking a proactive Executive Administrative Assistant to support our executive leadership in a fast-paced hospitality environment. This remote position is pivotal in ensuring seamless internal communications, executive scheduling, customer coordination, and travel logistics. The ideal candidate is highly organized, communicative, and adapts quickly to changing priorities.
Essential Functions:
Provide comprehensive administrative support to senior leadership, ensuring priorities, schedules, and deliverables are managed effectively.
Anticipate needs and proactively address issues to enable executives to focus on strategic priorities.
Drive coordination and execution of company-wide communications and leadership meetings, including all-hands, board meetings and executive briefings.
Ensure messaging is clear, consistent, and aligned with organizational objectives.
Oversee complex scheduling and calendar management across multiple time zones across the globe.
Optimize executives’ time by prioritizing engagements and preparing materials in advance.
Manage end-to-end travel arrangements for executives, including international and domestic itineraries.
Ensure cost-effective planning and smooth execution of travel, events, and offsites.
Serve as a liaison between executives, internal teams, and external stakeholders, ensuring timely communication and follow-up.
Support customer and partner engagement initiatives to strengthen relationships.
Manage sensitive information with discretion and professionalism.
Support special projects, reporting, and process improvements that enhance executive and organizational efficiency.
Required Education and Experience:
BA or BS from accredited college or university
Proven experience in executive or administrative roles (preferably in hospitality or remote support).
Excellent command of written and verbal business communication.
Advanced proficiency in tools like Microsoft Office, Teams, and project management platforms.
Proven organizational skills, with attention to detail and ability to multi-task.
Preferred Education and Experience:
Prior global remote or hybrid work experience.
Hospitality or customer-service industry knowledge.
Experience supporting C-level executives or complex stakeholder networks.
Expected Competencies:
Self-starter mindset; reliable with handling confidential information.
A collaborative team player who values the success of the whole team, in addition to their own success
Ability to adapt quickly and balance numerous responsibilities
Desire to work and ability to thrive in a fast-paced, dynamic environment
