Position Summary

The Administrative Support Associate provides critical frontline support to the student success operations of MiaPrep Online High School (MOHS). This role provides administrative and organizational support to student success initiatives, ensuring that students have access to the resources, programs, and services they need to thrive. This role works closely with counselors, teachers, advisors, student support specialists, administrators, and families to coordinate student-focused programs, track progress, and maintain accurate records, contributing to the overall experience of MOHS families.

This position reports to the Director of Student Success, supporting and executing tasks across enrollment, academic data, documentation, resources, and communication platforms as needed. The Associate also contributes to academic calendar management and plays a key role in fostering a responsive, caring culture for all MOHS stakeholders.

Key Responsibilities

  • Assist with administrative tasks related to enrollment and academic status in coordination with the administrative staff, academic counselors, teachers, advisors, and student support specialists.

  • Support and lead special projects aligned with the administrative needs of the school (e.g., surveys, audits, internal documentation, family communication, data analysis).

  • Maintain excellent and updated record-keeping in all systems and resources, ensuring students, parents, and staff have correct information and tools as they are needed.

  • Monitor shared communication channels and provide support for safe and respectful student interactions as needed.

  • Provide appropriate and timely communication and support to family questions as needed, responding with professionalism, empathy, and efficacy.

  • Maintain and update the academic calendar and weekly newsletters in coordination with the Engagement Specialist.

  • Assist with the development of resources, record-keeping practices, and tools to best serve the administrative and student support needs of our school.

  • Proactively identify opportunities to improve administrative systems and support services.

  • Serve as a student advisor to a small group of students, providing check-in meetings and general academic coaching as needed.

  • Maintain a strong tone of support, care, and clarity in all communications, with attention to student outcomes and family satisfaction.

  • Contribute to a collaborative culture that values communication, flexibility, and support for student success.

Schedule:

  • Work 40 hours each week on a year-round basis, Monday through Friday, between 8 am and 4 pm in a US time zone (ET, CT, MT, or PT)

  • High school diploma or equivalent

  • Minimum 2 years of experience in administrative or customer service settings

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines

  • Empathy, patience, and a student-centered mindset

  • Comfort with cloud-based tools (e.g., Google Workspace, ticketing systems)

Preferred

  • Experience in an educational or school environment

  • Experience with calendar and scheduling management

  • Experience with state funding processes for homeschooling or private schooling

  • Familiarity with Freshdesk or other ticketing/CRM platforms

  • Background in student advising or teen-facing roles (formal or informal)

Compensation & Benefits

  • The expected starting pay range is $19.42 - $30.81 per hour. Administrative Support Associates at MiaPrep Online High School work an average of 40 hours per week. When working year-round, this can equate to an annual pay range of $40,393 - $64,084.

  • Miaplaza’s compensation philosophy ensures equity and competitiveness while considering the regional differences in living and labor costs. Specific rates will be provided during the hiring process and are aligned with market data and internal equity.

  • Compensation is evaluated twice per year, based on performance.

  • Full-time employees are eligible for health, dental, and vision insurance, inclusive of specialty care options like fertility benefits, mental health services, and chiropractic care, FSA, HSA, and more.

  • All employees are eligible for a 401(k) retirement plan with employer match.

  • PTO is all-purpose time off, and combines traditional vacation and paid sick leave plans into one flexible, inclusive policy. Eligible employees can use PTO for all kinds of absences including: vacation, holidays, illness, injury, family leave, and other personal business. Full-time employees receive 16 hours of floating holiday PTO per quarter and accumulate additional PTO at the rate of 1 hour per every 17 hours worked. Annually, this amounts to approximately 122 hours per year or 15 eight-hour days on average.
