About the role:

As an Administrative Assistant, you'll be a vital part of our team, using your specialized administrative skills to manage a variety of tasks according to established procedures and guidelines. You'll independently handle both routine and non-standard assignments, playing a key role in helping the team achieve its goals efficiently.

Seniority Level: Mid-Level

Responsibilities:

  • Provide comprehensive administrative support to the project delivery team and other departments as needed. This includes:

    • Calendar management.

    • Taking meeting notes and preparing documentation.

    • Creating presentations and pitch decks.

    • Preparing comprehensive reports.

  • Accurately input and maintain data in relevant databases or systems, ensuring data integrity and accuracy.

  • Conduct research and analyze data as needed to support team objectives.

  • Perform other administrative tasks as assigned, including ad-hoc projects and special assignments.

Requirements:

  • Administrative Experience: Proven track record in administrative support roles, preferably in an agency environment.

  • Organizational Skills: Exceptional organizational skills, including the ability to prioritize tasks, manage multiple deadlines, and work independently.

  • Communication Skills: Excellent verbal and written communication skills, with a strong ability to build relationships and interact effectively with colleagues and stakeholders.

  • Tech Proficiency:

    • Experience with ClickUp or similar project management platforms (e.g., Asana, Trello, Jira).

    • Proficiency with Google Workspace (formerly G Suite), including Gmail, Google Docs, and Google Calendar.

    • Strong experience with Google Sheets or similar spreadsheet software (e.g., Microsoft Excel) for data organization and analysis.

    • Demonstrated ability to create professional presentations using tools like Google Slides or PowerPoint, Canva, Pitch or similar.

  • Attention to Detail: Meticulous attention to detail and accuracy in data entry, recordkeeping, and document preparation.

  • Problem-Solving: Ability to identify and resolve issues efficiently and effectively, with a proactive approach to problem-solving.

  • Adaptability: Flexibility to adapt to changing priorities, work environments, and technologies.

  • Customer Service Orientation: Strong customer service skills, with a commitment to providing excellent support to internal and external clients.
